Privacy notice

This notice explains how Newman Golf Coaching handles your information in the NGC Practice app. It's written for adult students in New Zealand, Australia, the United Kingdom and the United States, and follows the NZ Privacy Act 2020, the Australian Privacy Principles, and the UK GDPR and Data Protection Act 2018. The app is only for people aged 18 and over.

Who we are

Newman Golf Coaching is run by Oli Newman, PGA Professional, Hibiscus Coast, Auckland, New Zealand. Oli decides how your information is used (the "controller") and is our privacy officer. Contact: oli@newmangolfcoaching.com.

What we collect

• Account details: your name and email, and the programme you're on.
• Practice and play: your plan, the sessions you log and game scores, rounds (course, score, what went well or badly), weekly check-ins, and notes that you've uploaded a video to OnForm. Videos stay in OnForm; this app never receives them.
• Things we work out: points, streaks, levels and badges.
• Age confirmation: that you confirmed you're 18 or older, and when you accepted this notice.
• Technical: login cookies that keep you signed in, and drill ticks saved on your own device. Our hosting providers keep short-lived server logs (such as IP addresses) for security.

We don't collect your date of birth, address, payment details, location, health information or anything from your contacts, camera or microphone.

Why we use it (and the legal basis)

• To coach you: building your plan, seeing how practice and rounds are going, reviewing your videos. This is the service you've signed up for (UK GDPR: performance of a contract).
• Points, streaks and the monthly race: to keep practice fun. Our legitimate interest in motivating students. You can hide yourself from the leaderboard at any time.
• Login emails: the only emails the app sends. No marketing emails.

We don't make automated decisions about you, and we don't profile you for advertising.

Who can see it

• You and Oli.
• Other students only see a first name and monthly points on the leaderboard, and only if that student has it switched on.
• Service providers who run the app for us, under contract and only on our instructions: Supabase (database and logins), Vercel (hosting) and Resend (login emails).

We never sell your information or share it for advertising. We'd only disclose it if the law required us to.

Where it's stored

Your information is stored in Sydney, Australia (Supabase), and the app runs on servers in Sydney (Vercel). Login emails are sent through Resend, which may process your email address in the United States. If you're in New Zealand, the UK or elsewhere, this means your information leaves your country. We only use providers that protect it to a comparable standard and that have signed data processing terms, including the international data transfer safeguards UK law requires.

How we keep it safe

• Encrypted connections everywhere, and encryption of stored data.
• Database rules so each person can only reach their own information, tested automatically every time the app changes.
• Logins by one-time email link (no passwords to leak), and two-step login on the coach account.
• No tracking, analytics or advertising code.

If a breach ever puts your information at risk of serious harm, we'll tell you and the relevant regulator as the law requires (in the UK, within 72 hours of finding out).

How long we keep it

For as long as you're a student. When you stop, Oli archives your account, and we delete archived accounts after 24 months. You can ask for deletion sooner at any time, and Oli can do it straight away from the app. Backups held by our providers roll over and are gone within a short period after that.

Adults only

NGC Practice is for students aged 18 and over. Everyone confirms their age when they first log in, and Oli only sets up adult students. We don't knowingly collect information from anyone under 18. If you think we have, tell us and we'll delete it straight away.

Cookies

We only use cookies that are strictly needed to keep you logged in, so there's no cookie banner. Nothing tracks you across other websites.

Your rights

Wherever you live, you can:

• ask for a copy of your information (you can also download it yourself from the Progress tab)
• ask us to correct anything that's wrong
• ask us to delete it
• object to how we use it, or withdraw consent you've given
• take it to another service (the download is a standard JSON file)

Contact oli@newmangolfcoaching.com. We'll respond within 20 working days (NZ), 30 days (Australia) or one month (UK), and there's no charge. We may need to check it's really you first.

Changes

If we change this notice in a way that matters, we'll ask you to read and accept the new version next time you open the app.
